Responsibilities:
Welcoming and Greeting Customers:
Provide a warm and friendly welcome to all customers, creating a positive and inviting atmosphere in the dealership.
Offer assistance and direct customers to the appropriate departments or personnel.
Respond promptly and courteously to customer inquiries, ensuring their needs are addressed.
Managing Incoming Calls:
Answer incoming phone calls promptly and professionally, directing calls to the appropriate individuals or departments.
Provide accurate and timely information to callers, handling inquiries, and resolving issues whenever possible.
Take detailed messages and ensure they reach the intended recipients promptly.
Appointment Scheduling and Coordination:
Schedule appointments for customers with sales representatives, service department, and other dealership personnel.
Maintain an organized appointment calendar, ensuring efficient allocation of resources and personnel.
Follow up with customers to confirm appointments and make any necessary adjustments.
Administrative Support:
Perform general clerical duties, including photocopying, faxing, scanning, and filing documents.
Assist with maintaining dealership records, databases, and other administrative tasks as assigned.
Prepare correspondence, reports, and forms as needed.
Customer Service and Satisfaction:
Provide exceptional customer service by actively listening to customer needs and concerns.
Handle customer complaints or issues with empathy and professionalism, escalating to the appropriate individuals when necessary.
Ensure customer satisfaction by promptly and effectively addressing their inquiries, requests, and feedback.
Collaboration and Teamwork:
Collaborate closely with other dealership personnel to ensure smooth and efficient operations.
Communicate relevant information to appropriate team members, facilitating effective coordination and problem-solving.
Assist other departments as needed, contributing to a positive work environment and overall customer satisfaction.
Requirements:
Education and
Experience:
High school diploma or equivalent.
Previous experience in a customer service or receptionist role is preferred, preferably in an automotive dealership environment.
